Corporate Reservations Coordinator
 

Basic Function: System entry and management of assigned groups; assisting with reservation requests as needed based on volume and staffing; assigned administration tasks; contribute to the overall profitability of the properties

Work Performed:
  1. Properly set up group block information in the system in a prompt and accurate manner. This includes but is not limited to coding, booking instructions, allotments, and billing information
  2. Communicate clearly with group contacts and appropriate staff regarding overall pick up, cutoff dates, and any other applicable information. Highlight to sales if addendums or washes are needed based upon current pick up activity
  3. Monitor all group cut-off dates to ensure inventory is available to release for sale
  4. Maintain current and accurate group files by making updates and changes to the files as they occur
  5. Attend reservations, sales, and pre-convention meetings when appropriate
  6. Responsible for updating Delphi.fdc with pertinent notes and group pick-up at the conclusion of the program
  7. Work closely with sales, convention services, and reservations concerning any room accommodation requests, outside the group block
  8. Assist call center with reservation requests in times of high call volume, and/or under-staffing
  9. Ensure team completion of department daily checklist, including credit card charges for deposits, RSA reservation audits and query reports
  10. Create new SOPs on specific processes as directed
  11. Tracks absences and tardiness among the team during the shift
  12. Assists agents with troubleshooting phone and/or computer systems
  13. Complete all daily checklists and reports
  14. Management of various reservation systems, including communicating issues/ needs with IT and service providers as needed
  15. Assisting RSAs in researching reservations issues
  16. Ensure Call compliance by all RSAs
  17. Researches reservation service issues, advising resorts and team as applicable
  18. Assists with tracking incentive achievements for agents each month

Minimum Requirements:

Prior resort/hotel reservations experience preferred.
High school diploma or equivalent required.
Must possess intermediate computer skills with the ability to learn and master multiple software systems.
Ability to deal with internal & external guests while maintaining a high level of professionalism.
Requires excellent verbal and written communication skills and confident telephone skills and etiquette.
Must be self-starter and ability to work independently, have a strong eye for details, be results driven, possess strong interpersonal and administrative skills, and demonstrate self-confidence, energy, and enthusiasm.
Excellent organizational skills and ability to handle multiple tasks (talk, type, search multiple screens) without impact to the guest.
Ability to work effectively in a team environment and with different levels of management.
Flexibility with schedule, able to work weekends, nights, and holidays as needed.
